Set up your HRIS connection
The HRIS/employee directory connection allows Refresh to securely connect to your organization's HR system to automate user management and keep employee information up to date.
Once user syncing is enabled, Refresh can automatically:
- Add new employees and send invitations.
- Keep employee information, such as names and contact details, current.
- Update user access when employees join or leave the organization.
- Use employee information, such as department or location, to target content and support reporting

Access the HRIS panel
Connecting your HRIS does not immediately activate user syncing. You'll have an opportunity to preview and review the data first.
Top-level administrator access required
The connection must be authorized by someone with owner-level or top-level administrator access to your HRIS or payroll system.
To set up the connection, your administrator should:
- Go to Admin ➤ Structure & Settings.
- If setting up the connection at the group or team level, first select the Group and, if applicable, Team.
- In the left panel, select Employment / HRIS.
Connect your HRIS system
Follow these steps to securely connect your organization's HR system to Refresh:
- Select Connect.
- Select Continue and follow the prompts to authorize the requested read permissions.
- Choose your provider from the list.
- Sign in using your HRIS administrator credentials and complete the authorization.
Once the connection is successful, let your Refresh customer success contact know so they can review the employee directory and complete the user sync setup.
Preview your employee directory
Before activating user syncing, run a preview with your Refresh Customer Success team to see what employee information is available from your HR system, such as department, employment type, and work location. Available fields vary by provider.
To run a preview:
- Admin ➤ Structure & Settings ➤ Employment / HRIS.
- Go to Admin Select Preview sync.
- Contact your Refresh Customer Success team once the preview is complete.ontact your Refresh Customer Success team once the preview is complete to review the results and finalize the setup.
The review will cover:
- Employee information: Which fields to use for organizing employees, targeting content, and reporting.
- Email addresses: Any missing or duplicate addresses that need attention.
- Invitations: How new employees should be invited to Refresh.
- Employee departures: How access should be managed when employees leave the organization.
Once everything is confirmed, Refresh will help activate daily user syncing.
Keep your HRIS data current
Refresh relies on accurate information from your HR system to keep employee accounts and access up to date.
To help ensure syncing works correctly:
- Keep employee information current: Update employment status, work email, department, and location in your HRIS as changes occur.
- Maintain unique email addresses: Each employee should have a valid, unique email address. Missing or shared addresses may prevent users from being added or matched automatically..
Reauthorize an expired connection
For security reasons, your HRIS provider may periodically require the connection to be reauthorized. This may happen because authorization expires, administrator permissions change, or your provider updates its security requirements.
The HRIS administrator will receive an email notification if the connection needs to be reauthorized.
To reconnect:
- Go to Admin ➤ Structure & Settings ➤ Employment / HRIS.
- Select Re-authorize.
- Follow the prompts to sign in to your HRIS and authorize the connection again.
- Save your changes.
